Job Vacancy - Personal Assistant – Corporate and Commercial Department

 

We are recruiting for a Personal Assistant (PA) to join our growing Corporate and Commercial team.

The ideal candidate will be able to provide an excellent standard of both secretarial and administrative support to one of the North East’s busiest corporate and commercial teams.

We are looking for someone who will be able to:

  • Work actively with the lawyers in this team to ensure that documentation is produced to meet clients’ demands, expectations and deadlines;
  • Produce and amend documents with speed, but more importantly, accuracy;
  • Present documents in line with Swinburne Maddison LLP brand guidelines;
  • Proof read all work, checking for spelling and grammatical errors;
  • Ensure that client confidentiality is maintained at all times;
  • Proactively identity and implement better ways of working; and
  • Deal with their duties and responsibilities with initiative and pragmatism bringing a real contribution to the team as a whole and the services that it delivers.

Main Duties and Responsibilities:

  • Day-to-day administration of all client files in accordance with the firm’s policies and procedures (to include file opening, reviews and file closures);
  • Making and receiving telephone calls on behalf of the lawyers in the department, passing messages on or taking further action where appropriate;
  • Preparation of correspondence and documentation in accordance with our brand guidelines;
  • Management of team diaries including booking meetings, events, training courses and any related travel or hospitality arrangements; and
  • Setting up meeting rooms including telephone and video-conference facilities.

Skills and Experience:

  • Experience of working in a professional services organisation (some legal experience would be beneficial);
  • Excellent organisational and administrative skills;
  • Demonstrative interest in the work of the team and the future of the department;
  • Strong time management and prioritisation skills as this will be required to support a demanding group of lawyers at different levels of seniority;
  • Ability to use initiative and come up with solutions to problems;
  • Flexible approach as required in order to assist the  team and/or meet client deadlines;
  • Effective user of key software packages (Microsoft Word, Excel and Outlook);
  • Ability to work independently as well as part of a team; and
  • Excellent client care skills.

Working hours will be Monday-Friday 9am-5pm with 1 hour for lunch, but some flexibility may be required occasionally.
